GENERAL SUMMARY:
Maintains and processes DART Police records.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. 30% - Receives and processes citations, incident/offense reports, accident reports, and subpoenas. Reviews incident/offense reports for accuracy; ensures information is correctly entered into the departments Records Management software.
  2. 20% - Drafts complaints and files Class C misdemeanor cases, including traffic/non-traffic violations and offenses, in appropriate courts; prepares correspondence to and communicates with courts regarding Class C misdemeanor cases. Maintains records and assists personnel in locating police reports and information; coordinates off-site storage of police records.
  3. 15% - Responds to requests for copies of citations, accident and incident reports, and Open Records Requests. Responds to inquiries regarding police reports, citations and other information using the agencys intranet service request system.
  4. 15% - Submits Police accident reports to the state under the direction of the Supervisor of Records Management. Gathers and maintains Police statistics for FTA (Federal Transit Administration) monthly reports.
  5. 10% - Notarizes documents, records, reports, affidavits, complaints, statements, and citations.
  6. 10% - Performs miscellaneous customer service or records-related projects; greets and assists patron inquiries at the lobby entrance to the facility.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

  1. High school or general education diploma (GED).
  2. Two (2) years administrative and/or clerical experience in a general office environment or two (2) years customer service or data-entry experience.
  3. Ability to demonstrate a fiduciary obligation to section, division, department, and DART in handling materials and information of a confidential nature.
  4. Analytical skills to gather and interpret data in situations where problems are not difficult or complex.
  5. Interpersonal skills to effectively communicate with all levels, both inside and outside of DART.
  6. Type at a speed necessary for successful job performance, but no less than 20 wpm. Familiarity with personal computer (PC) and software applications to include Microsoft (MS): Word, MS Excel, or equivalent. Experience with MS Access is a plus.

REPORTING RELATIONSHIP:
Reports to DART Police Sergeant *

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
