GENERAL SUMMARY:
Provides administrative support and acts as liaison to several internal groups while supporting overall team initiatives related to a variety of projects to include, but not limited to, technology, data entry, research, and general administration, for Dallas Area Rapid Transit's (DART) Maintenance Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Performs administrative duties in support of various division programs by assisting with documents; special research/data compilation projects; coordinating processes, projects, and events; maintaining message system and assisting in the general business operations of the various divisions within the Maintenance Department.
  2. Generates a series of current daily, weekly, monthly and quarterly reports for internal and external use.
  3. Works with management to ensure that any and all contract checklist requirements are current and included in the contract file to ensure compliance.
  4. Reviews and verifies data for vendor registrations, contracts, solicitations, supplemental agreements, task orders, and contract modifications for extraction of key data for data entry.
  5. Assists staff with the preparation of presentations, spreadsheets, databases, reports, etc.
  6. Prepares off-site storage boxes and keeps track of the retention schedules. Maintains a file-tracking database, submitting box retrieval requests, and auditing boxes as necessary.
  7. Performs other duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

  1. Associate Degree from an accredited college or university in Business Administration, Finance, Information Systems or a related field.
  2. Two (2) years progressively responsible experience involving management of projects, data analysis, office administration and other related monitoring and analysis activities.
  3. Must have a valid Drivers License class A, B, or C, and be able to obtain a Texas class A, B, or C within 90 days of employment; no DWI/DUI conviction within the last sixty (60) consecutive months, not more than one (1) DWI/DUI on driving record, and not more than three (3) convictions of moving violations within the last thirty-six (36) consecutive months on driving record in order to operate DART non-revenue vehicles.
  4. Proficient using personal computer (PC) and software applications.
  5. Ability to demonstrate a fiduciary obligation to section, division, department, and DART in handling materials and information of a confidential nature
  6. Analytical and creative skills to find solutions to problems of moderate complexity.
  7. Strong Interpersonal skills to effectively and sensitively communicate with all levels of supervisory and non-supervisory employees, consultants, and others both inside and outside of DART.
  8. Must have good oral and written communication skills with the ability to write clearly in a variety of communication styles and settings.
  9. Ability to marshal resources (people, funding, material, support) to get things done; can orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; arranges information and files in a useful manner.
  10. Ability to use his/her time effectively and efficiently; values time; concentrates his/her efforts on the more important priorities; gets more done in less time than others; can attend to a broader range of activities.
  11. Ability to be action oriented and full of energy for the things he/she sees as challenging; not fearful of acting with a minimum of planning; seizes more opportunities than others.

REPORTING RELATIONSHIP:
Reports to Sr Mgr Rail Ops Training & Dev*

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
