GENERAL SUMMARY:
Maintains and processes employee labor relations records. Provides administrative support for the Vice President and other subordinate departmental staff. Handles phones, schedules, mail, coordination of hearings, witnesses and correspondence. Coordinates all activities of the office. Assignments involve work of a confidential nature necessitating the excercise of discretion, judgment, tact and diplomacy.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Performs administrative and clerical duties in support of various division programs by assisting with documents; research/data projects; coordinating processes, projects and events; maintaining message system, correspondence system, and assisting in the operations of the various divisions within the Diversity Department.
  2. Generates current daily, weekly, monthly, quarterly, semi-annual and annual reports.
  3. Assist staff with the preparation of presentations, spreadsheets, databases, reports and the like.
  4. Coordinates meetings, training, grievance hearings, management appeals committee hearings and witness appearances. Ensures that appropriate personnel are informed of schedules.
  5. Establishes and maintains filing and records control systems. Responsible for records management of the employee labor relations division. Prepares off-site storage boxes and keeps track of the retention schedules. Maintains file tracking database, submits retrieval requests and audits file boxes as necessary.
  6. Keeps a timing and tracking system to ensure all grievances are heard and responded to within timelines.
  7. Responds to requests for documents and delivers notices for witnesses to appear.
  8. Performs other duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

  1. Associates degree in Business Administration, Legal studies or a related field.
  2. Three (3) or more years experience managing projects, office administration and related activities.
  3. Analytical and creative skills to find solutions to problems of moderate complexity.
  4. Strong interpersonal skills to effectively and sensitively communicate with all levels both inside and outside of DART.
  5. Excellent verbal and written communication skills.
  6. Ability to multi-task.
  7. Ability to use resources effectively and efficiently; arranges information and files in a useful manner.
  8. Ability to concentrate his/her efforts on the more important priorities.
  9. Ability to demonstrate a fiduciary obligation to section, division, department, and DART in handling materials and information of a confidential nature
  10. Proficient using personal computer (PC) and software applications.
  11. Ability to get things done.

REPORTING RELATIONSHIP:
Reports to AVP Diversity & Vendor Mngmt *

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
