GENERAL SUMMARY:
Under limited supervision, provides administrative and clerical support to Dallas Area Rapid Transit's Rail Program Development department. Specific duties vary depending on the division within the department to which each position reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Maintains message system to include tracking staff, answering, screening, and routing in-coming calls, if necessary, taking messages. Ensures telephone is answered during office hours. Receives and greets visitors and guests. Maintains electronic calendar.
  2. Composes, types, and edits a variety of correspondence and copies a variety of materials for all sections of the department as assigned. Understands and maintains division filing in accordance with the Rail Program Development File Room Procedures.
  3. Researches documentation in support of various issues being addressed by the department and gathers data to aid in the resolution of critical issues.
  4. Makes arrangements for meetings, seminars, finances, and other special services. This includes typing meeting notices, travel requests, check requests, etc.
  5. Collects, sorts, and distributes division mail, as well as collects and deposits mail at appropriate receptacle in Rail Program Development File Room.
  6. Prepares Board Agenda Reports, documents and presentations for the Rail Program Development Committee.
  7. Oversees office functions to include, but not limited to, assessment of needs for equipment, supplies, furniture and fixtures, inofrmation systems and work space. Submits service requests for equipment failures and replenishment of paper products.
  8. Performs other duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

  1. High school or general education diploma (GED) plus one (1) year specialized commercial, technical, or vocational training outside of high school in office automation.
  2. Four (4) years administrative and/or clerical experience in a fast paced office environment.
  3. Type 45 wpm.
  4. Profiency with personal computer (PC) and software applications.
  5. Ability to demonstrate a fiduciary obligation to section, division and DART in handling materials and information of a confidential nature.
  6. Ability to be dedicated to meeting the expectations and requirements of internal and external customers. Gets first-hand customer information and uses it for improvements in products and services. Acts with customers in mind. Establishes and maintains effective relationships with customers and gains their trust and respect.
  7. Ability to marshal resources (people, funding, material, support) to get things done. Can orchestrate multiple activities at once to accomplish a goal. Uses resources effectively and efficiently. Arranges information and files in a useful manner.
  8. Ability to use his/her time effectively and efficiently. Values time. Concentrates his/her efforts on the more important priorities. Gets more done in less time than others. Can attend to a broader range of activities.
  9. Ability to enjoy working hard. Is action oriented and full of energy for the things he/she sees as challenging. Not fearful of acting with a minimum of planning. Seizes more opportunities than others.

REPORTING RELATIONSHIP:
Reports to AVP Real Estate *

WORKING CONDITIONS:
Works in an environment where there is minimum exposure to dust, noise, or temperature. May be moderately exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals while visiting DART's operating facilities, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
